Just a few years ago, it was hard to imagine that some guests would sit comfortably in a conference room, while others... in their home armchair with a cup of coffee. And yet. Hybrid conferences have become everyday events. Because the world has changed – and we have changed with it.

Today, business events are organized differently. More flexibly, with various needs in mind, but with the same goal: to meet, talk, and share knowledge. And the hybrid format fits perfectly for such meetings.

What exactly is a hybrid conference?


It’s an event where part of the participants are with us on site – in the conference room, during lunch, or at the evening gala. And part join remotely. From the office, home, the other end of Poland, or the world. Both groups participate in presentations, can ask questions, and follow the presentations.

Why do companies choose the hybrid format?
Greater reach. That’s the simplest answer. Some people may not have time or the possibility to travel, but want to participate. Hybrid gives them that chance. And for the company – it’s a chance for higher attendance and better results.
Savings. Fewer overnight stays, less transport, lower costs. While maintaining the substantive value of the event.
Modern image. Hybrid conferences signal: we are open to new things, flexible.
Meeting recording. The broadcast can be recorded and later used – as educational material, a bonus for participants, or content for brand communication.

Hybrid conferences are also a challenge


We won't pretend this is a “hands-off” option. For everything to work, you need:
– fast internet and appropriate equipment,
– a broadcasting platform (Zoom, ClickMeeting, MS Teams – there are many options),
– a technical team on site,
– and someone to ensure remote participants also feel “present”.
At Santa Natura, we have already hosted such events – and we know how important technical rehearsals, a backup microphone, and good cooperation with the streaming company are. But we also know that the final effect – that moment when everything works and participants write “great event!” – is worth every hour of preparation.

What to do for a successful hybrid conference?


1. Plan the event with two groups in mind.
Online participants cannot be “just spectators”. They should have the opportunity to ask questions, vote in polls, and speak up.
2. Provide complete information.
Agenda, access to the broadcast, contact to the technical person, link to materials after the event – all must be clear, simple, and ready in advance.
3. Choose a professional venue.
Not every place is suitable for hybrid. Here you have at your disposal a modern conference room for 100 people, an intimate business room for 24 people, a cinema hall, and a spacious banquet hall. And if you need more space – there is a multifunctional event hall that can accommodate up to 500 participants. All spaces are equipped with professional AV equipment and wireless internet.
4. Consider integration.
Presentations are one thing, but networking and relationships happen beyond slides. Therefore, it’s worth organizing a dinner with regional cuisine at the OLS restaurant, a walk in the forest, an evening in the sauna, or a screening in our intimate cinema hall. For online participants, a networking session or an interactive coffee break can be arranged.
5. Ensure comfort.
A conference is also logistics. Here you have everything on site: 58 comfortable rooms (137 beds), a modern conference facility, a restaurant run by Grzegorz Birek, free parking, electric car charging stations, and – importantly – 13 hectares of land in the surroundings of the Bolimowski Landscape Park.

And what after the conference?


Every event ends with a summary. With hybrid, it’s worth collecting feedback from both groups – those who were on site and those who joined online. What worked? What can be improved next time?
